CONTACTS

ê    Look for a “contact” – other people using Intrepid Backup.  These could be work colleagues or family members.  Contacts can then be included in “workgroups” – see below.

FAQ

How do I create a list of contacts?

  1. To look for a contact, fill in any or all of the details in the fields: First name; Last name; Email; City; Country and click on Search, (magnifying glass).  Your matching information will show contacts and list them in the Results box
  2. Add your contacts to the my Contacts box by clicking on your contact and then clicking on the right pointing arrow
  3. Click on save to save your list of contacts.  This list can now be used in your workgroups.

How do I create a workgroup?

  1. To create the workgroup click on Create – next to the Workgroups box
  2. Name your workgroup and add your contacts
  3. Click on the submit button

How do I edit my workgroup?

To edit your workgroup: change the name; add or remove contacts, click on the workgroup name and click on the button with the pencil on it.

Can I create new folders?

Yes, you can create subfolders (folders within folders)

  1. Click on the button to go to the HOME screen
  2. Click on the link to open the folder where you would like to create the sub folder
  3. In the box to the right of New Folder, type a name for your new folder
  4. Click on the Add Folder text.  The new folder will appear at the top of your document list

How do I add a document to Intrepid Backup?

  1. Click on the button to go to the HOME screen
  2. Click on the button to open the folder and/or sub folder where you would like to store the document
  3. Click on the ADD FILE text
  4. Click on the BROWSE button to find the document
  5. Give the document a description (optional) – this could be a brief outline of the document contents for example
  6. Click on the UPLOAD text

What does Check documents in and out mean?

Checking documents in and out is used when a contact or workgroup wants to edit a document.   When the document is checked out, it can still be accessed and read, but only changed by the contact who has checked it out.  Once the editing is complete, the document should be checked back in and will show in Intrepid Backup with the changes made by the editor.  Checking out and in means that only one copy of the document is saved in your folder and makes it easier to keep track of the current version.

How do I check a document in or out?

                                          Check out:

Ensure that you have been added as a contact, given the permissions to the folder and the document and the original owner of the document has checked out the document by clicking on the CHECK OUT button. 

  1. Click on the button to go to the HOME menu
  2. Click on the link to open the folder titled Files shared for me and, if necessary, any subfolders the document may be stored in
  3. Click on the link to the folder and choose whether to open or save the document
  4. Make the changes to the document and save it to your computer using the default file name
  5. Close the saved document

Check in

  1. Go back to the HOME menu in Intrepid Backup and navigate your way back to the location of the original document (refer to step 2 of the Check Out instructions)
  2. Click on the CHECK IN button
  3. Click on the BROWSE button and locate the amended document
  4. Click on the SUBMIT button

The document is now ready for review and to be checked out and edited by another contact.

Can I see the amendments and who made them?

Yes.  If the document has been changed, a link titled Available will appear under the Version column.  Clicking on the link will display a list of the versions, when they were made and who made them.  The versions can be downloaded and viewed or deleted.

How do I know a document has been checked out?

The document will show as Checked Out in the Status column in the folder

Can I see who has checked a file out?

Yes, click on the Checked Out link in the status column.  Alternatively, hover your mouse pointer over the text in the checked out column.

I cannot see a shared folder or document

  1. Click on the Files Shared For Me folder link and open any subfolders that may be contained inside
  2. Contact the document owner and ask if they have set all the permissions for you

I cannot find the document using the Search Files function

For the file to be searched the documents search box must be checked (ticked) by the document owner:

  1. Click on the link to go to the MAIN menu
  2. Click on the SETTINGS button at the end of the line where the document is listed
  3. Click in the box next to the text: Make this file available for search

The file may have been deleted.

I deleted a file in error, can I get it back

Deleted files CANNOT be retrieved.  If the original document is still on your computer you can upload it again, however any editing changes that were saved on the Intrepid Backup server will be lost.

I cannot find a contact

  1. Check that you have spelt the name correctly
  2. Is the country selection correct?
